But procurement teams importing equipment for the first time often underestimate the paperwork, and overestimate the shipping time. Duties & taxes to budget for
Import duty on construction machinery varies significantly by country and by HS code classification, a wheel loader and a set of hydraulic spares are not taxed the same way. Most African customs authorities apply a combination of import duty, VAT, and in some cases a railway development or import declaration levy. Before finalizing a budget:
- Confirm the exact HS code for each piece of equipment with your customs agent, misclassification is the most common cause of delayed clearance.

- Certificate of origin, required for preferential duty treatment under some trade agreements
- Bill of lading, your proof of shipment and the document your clearing agent needs on arrival
- Insurance certificate, if shipping CIF or if you've arranged your own marine insurance
Realistic shipping timelines
Timelines depend on the port pair and whether equipment is manufactured to order or shipped from stock:
- Manufacturing lead time: 2–6 weeks for stock models, 8–12 weeks for made-to-order specifications.
- Sea freight, Mundra/Nhava Sheva → Mombasa or Dar es Salaam: approximately 12–18 days.
- Sea freight, Mundra/Nhava Sheva → Lagos, Tema or Durban: approximately 20–28 days.
- Port handling and inland transport: add 5–10 days depending on customs clearance and whether the equipment requires oversized-cargo permits for road transport.
For project planning, most contractors build in 10–14 weeks from confirmed order to equipment being operational on site, tighter for stock items shipped FOB to East African ports, longer for made-to-order equipment heading to West or Southern Africa.
